Action items
An action item is a follow-up task with a title, an assignee and a due date: fix a guard rail, retrain a crew, replace a damaged ladder. Action items can stand alone or be linked to the event or form submission they came from, so you can see what was done about each report.
Where action items come from
Section titled “Where action items come from”You can create an action item:
- On the Action Items page, with Create Action Item.
- From an event. On the event page, open the Actions menu and select Create Action Item. The new item is linked to the event and appears in the event’s Action Items section.
- From a form submission, on sections where the form allows it. Open the section’s ⋮ menu and select Create Action Item. View Action Items shows the items already created for that section.
- From an investigation, when a proposed corrective action is accepted. See Investigations.
- In the mobile app, with New Action Item.
Create an action item
Section titled “Create an action item”- Open Action Items in the sidebar (under Forms & Field) and select Create Action Item.
- Enter a Title: a short summary of what needs to be done.
- Optionally add a Description and attachments.
- Choose the Assignee and the Due date.
- Set the Priority: Low, Medium (the default), High or Urgent.
- To link the item to an event, set Related to to Event and pick the event.
- Fill in any extra fields your organization uses, then select Create.
What happens next
Section titled “What happens next”- The assignee gets a notification in their Inbox, an email and, if they use the mobile app, a push notification. You don’t get notified when you assign an item to yourself.
- If the item is linked to an event, the assignee also starts following that event’s activity.
- The item starts as Open.
Statuses
Section titled “Statuses”By default an action item moves through Open, In Progress and Complete. Your organization can rename these or add statuses such as on hold or cancelled, in Settings → Statuses, so your labels may differ.
Complete an action item
Section titled “Complete an action item”- Open the action item from the Action Items page, your Inbox, or the linked event.
- Add Response Notes describing what was done.
- Select Mark Complete.
Only the assignee can complete an action item. Admins can edit an item but can’t complete it unless it’s assigned to them. Once complete, the item shows who completed it and when.
Field workers can also see and complete their action items in the Safety Center, under Incident Reports → Action Required.
The Action Items page
Section titled “The Action Items page”The list shows each item’s Title, Form Title, Action Required By (the assignee), Status, Created By and Created At.
- Search and filter by Status or Action Required By.
- Saved views: save a set of filters and pick it later from Select View. Organization views are shared with everyone; User views are only yours. Use Clear View to go back to all items.
- Your filters are remembered the next time you open the page.
Common questions
Section titled “Common questions”Can I get reminders before an item is due? Safety Radar notifies the assignee when the item is assigned. There are no automatic due-date reminders.
Can I add my own fields to action items? Yes. Custom fields, including required fields and extra list columns, are set up with the Safety Radar team. Contact support to add them.
